What we collect
When you submit the contact form, Apex Minds collects your name, email address, message, and any optional company, telephone, business-interest and campaign details you provide. We also retain limited technical information needed to secure the form.
Why we use it
We use this information to review and respond to your enquiry, manage follow-up activity, protect the form from abuse, and maintain an audit trail of business communications. We do not sell contact data.
Retention and security
Enquiry data is normally retained for up to 365 days unless a continuing business relationship, legal duty, dispute, or your request justifies a different period. It is kept in the private Apex Minds control system with restricted access and encrypted backups. Expired records are anonymised automatically.
Service providers
Infrastructure, automation, notification and security providers may process limited data only as needed to operate the service. These may include our hosting provider, Cloudflare, email or Discord notification services, and n8n automation.
Your choices and rights
You can ask for access to, correction of, export of, or deletion of your contact data. You may also object to or restrict processing where applicable. Contact us using the public enquiry form and clearly state that your request concerns privacy.
Changes
We may update this notice when the service or legal requirements change. The effective date above identifies the version that applies.
